Conference Policies

Agreement:

Exhibitors/Sponsors/Attendees hereby agree to abide by these Rules & Regulations for the conference they are participating in.

Cancellation Policy

If you are unable to attend the conference, you may substitute a colleague to take your place at no extra charge. However, if sending a replacement isn’t possible, the following cancellation terms will apply:

Cancelled by July 22, 2026:

Full Refund

Cancelled by September 1, 2026:

50% Refund

After September 1, 2026:

No Refund
We must guarantee and pay for all food & beverage, audio-visual and conference space based on our attendee numbers.

All cancellations must be sent to the SCTA Team, and refunds, if any, will be issued according to the dates above.

Event Registrations

  1. By registering for an SCTA conference you are agreeing to let SCTA use any photos, audio, or video recordings taken at our events for any future SCTA marketing or promotions.

  2. You will receive periodic emails containing essential conference information and important updates pertaining to the event.

  3. Please note that all industry professionals at the host venue are expected to be registered for the conference.  SCTA will not allow individuals or companies that are not registered for the event to mingle around and network “for free”. Anyone who is observed to be soliciting business in public spaces who is not registered will be asked to leave immediately or to pay the proper registration fee.

  4. Badge sharing is not permitted at the SCTA conference. Everyone attending the conference must be registered individually and properly. Anyone who is caught badge sharing will either pay the registration fee or be asked to leave.

Scammers

Scam offers falsely claiming to represent SCTA have contacted sponsors and attendees offering assistance with hotel bookings, sponsorships, or registration. Unfortunately, there isn’t much we can do to stop them except to educate you.

PLEASE BE ADVISED we do not sell or distribute attendee information, and any official communication regarding sponsorship, registration, or other conference information will always come directly from our verified SCTA staff or board members.

To protect your company, please read the following facts:

  1. We do NOT sell our attendee lists EVER. Any offers to buy our attendee list are a scam.

  2. We NEVER call to ask you for your credit card to make a payment. You are welcome to call us anytime to make a payment but do NOT give your credit card to anyone calling who says they are from SCTA.

  3. Companies posing as a third party SCTA housing provider, offering hotel reservation services for this or any SCTA event have not been authorized to contact you. Making a reservation though one of these organizations may result in you not having a room reservation and fraudulent charges on your credit card. If you need to book hotel rooms, please book them only through this website or by contacting the hotel directly. 

  4. If you receive any suspicious emails or messages claiming to represent SCTA, especially those requesting personal information, payment, or access to data, we urge you not to respond or click any links. Instead, please report them immediately to us.
